We are looking for a tech-savvy Personal Assistant to be the right-hand partner for our COO. In this role, you will keep our daily operations running smoothly and help manage cross-functional projects in a fast-paced startup environment.
Key Responsibilities
- Project & Operational Support
- Help the COO track and monitor project progress across various teams (Product, Engineering, and Operations).
- Attend key meetings, take concise minutes, and delegate action items to the respective teams.
- Calendar & Inbox Management
- Manage the COO's daily and weekly schedules, effectively handling different time zones.
- Handle incoming correspondence (emails, letters, documents) and flag urgent priorities.
- Logistics & Administration
- Arrange all business travel logistics, including flights, accommodation, and meeting itineraries.
- Manage the COO's monthly expense reports and reimbursement claims.
- Handle legal documents, NDAs, and digital signatures securely.
What We Are Looking For
- Experience: At least 1 year of experience as a PA, Secretary, or Project Coordinator, ideally within the startup or tech industry.
- Tech Stack: Proficient with project management and productivity tools like Notion, Slack, Google Workspace, Jira/Asana, and AI tools (ChatGPT/Claude).
- Startup Savvy: Familiar with common tech and startup terms (such as OKRs, KPIs, Sprint, Agile, B2B, and SaaS).
- Communication: Excellent verbal and written communication skills in both Indonesian and English.
- Mindset: Adaptable, proactive, and highly trustworthy with confidential company data.
- Flexibility: Willing to travel out of town for business trips when required.
