Job Description

As the Executive Assistant, you will play a critical role in enabling the Executive's effectiveness by providing high-level administrative and strategic support, managing priorities, and ensuring seamless coordination across schedules, communications, and projects. This role supports informed decision-making, strong stakeholder relationships, and disciplined governance, allowing the Executive to focus on strategic direction and business outcomes.

Responsibilities

Achieve the monthly and annual Key Performance Indicators (KPIs) set by the Company.

Executive & Strategic Support:

  • Provide high-level administrative and strategic support to the Executive(s).
  • Act as a gatekeeper for schedules, communications, and priorities.
  • Anticipate executive needs and proactively resolve issues before escalation.
  • Prepare executive briefings, presentations, and decision-support documents.

Calendar, Meeting & Travel Management:

  • Manage complex calendars across multiple time zones.
  • Prioritize and optimize meetings based on strategic importance.
  • Coordinate domestic & international travel, visas, accommodation, and itineraries.
  • Prepare meeting agendas, take action-oriented minutes, and track follow-ups

Communication & Stakeholder Management:

  • Represent the executive professionally in meetings when required.
  • Handle communications with internal leaders, external partners, clients, and government bodies.
  • Draft, review, and manage executive-level correspondence (emails, letters, reports).

Confidentiality & Governance:

  • Handle highly confidential information with discretion and integrity.
  • Support compliance with internal policies, legal, HR, and governance requirements.
  • Maintain secure and organized documentation (contracts, agreements, board papers).

Project & Process Coordination:

  • Support cross-functional projects and initiatives driven by the executive.
  • Track deadlines, deliverables, and dependencies across teams.
  • Identify process inefficiencies and recommend improvements.

Business & Financial Support (if applicable):

  • Assist with budget tracking, expense management, and approvals.
  • Prepare simple financial summaries or dashboards for executive review.
  • Liaise with Finance, HR, Legal, and Operations teams.

Qualifications:

  • A Bachelor's degree in any discipline.
  • Minimum of 2-3 years of experience in secretarial & business support, or a similar role involving project coordination, analysis, and reporting.
  • Experience with the ability to identify discrepancies, trends, and key insights from financial and operational data.
  • Experience in coordinating cross-departmental projects, tracking timelines, and managing documentation.
  • Excellent written and verbal communication skills for drafting correspondence, preparing reports, and coordinating with team members.
  • Minimum 6 years of experience with strong organizational skills for a senior executive in document management, filing, and administrative support.
