Set up and run a centralized document-control system — filing structure, naming / numbering conventions, version control, and access permissions.
Serve as the single source of truth for all project records: management approvals and sign-offs, design / detailed / layout drawings, memorandums, agreements, invoices and tax invoices, and important email correspondence.
Maintain document registers and a clear audit trail (drawings, contracts, approvals, financials), and chase down missing sign-offs.
Document our recurring processes — e.g. site scouting and approval workflows — so each project has a traceable history.
Coordinate across engineering / automation, finance, legal, and procurement to collect, validate, and distribute documents, and support audits.
Requirements
Strong organizational skills and attention to detail, with the ability to build a document-control system from scratch.
Experience in document control, project coordination, or records management, and proficiency with Google Workspace / MS Office.
Discretion in handling confidential financial and legal documents.
Engineering / construction / EPC document-control experience is a plus, but not required.
