About the Role
We are seeking a detail-oriented and proactive Customer Service & Logistics Specialist to join our Indonesia team. In this role, you will be the key link between our customers, sales team, and logistics operations, ensuring seamless order-to-delivery execution. You will handle end-to-end customer service inquiries while managing the physical movement of goods and shipping documentation. This is an onsite position based in Jakarta, ideal for a meticulous problem-solver who thrives in a fast-paced environment.
Primary Responsibilities
Customer Service
- Process and fulfill sales orders accurately and efficiently using Oracle ERP system
- Monitor backorder status and provide timely updates to Sales and customers
- Serve as the primary point of contact for customer inquiries regarding product pricing, lead times, and order status
- Collaborate with internal teams (Sales, Finance, Quality) to coordinate deliveries, resolve quality issues, and process goods returns
- Coordinate with Finance department on customer payments and issue credit notes as needed
- Support internal and external audit requests by maintaining organized records
- Maintain accurate filing of invoices and all sales-related documentation
- Communicate effectively with both Bahasa Indonesia and English-speaking customers
Logistics & Shipping Coordination
- Liaise with freight forwarders to manage import/export arrangements and ensure timely delivery of shipments
- Prepare, review, and handle full sets of shipping documentation with high attention to detail
- Track shipments proactively and resolve any logistics issues that arise
- Ensure compliance with international shipping regulations and customs requirements
- Support incoming shipments by verifying physical goods and placing them in designated locations
- Assist with outbound shipments, including picking, packing, and generating shipping instructions
- Generate shipping instructions and process invoicing within Oracle ERP system
- Perform other ad-hoc duties as assigned by Supervisor
Qualifications & Requirements
Must-Have
- 12 years of relevant experience in a hybrid role involving both customer service and logistics/shipping documentation
- Hands-on experience with Oracle ERP systems (order processing, invoicing, tracking)
- Proficiency in Microsoft Office applications (Excel, Outlook, Word)
- Strong communication skills in both Bahasa Indonesia and English (verbal and written)
- Meticulous with strong attention to detail, especially in documentation
- Ability to manage multiple tasks and thrive in a fast-paced environment
- Positive mindset and a strong team player
- Quick learner who can adapt to new processes and systems
Nice-to-Have
- Working knowledge of Incoterms
- Familiarity with international shipping regulations and customs requirements
