Role Overview

One of our clients is looking for a proactive and creative Virtual Assistant to help manage the day-to-day execution of a growing podcast and founder community. This role is perfect for someone who enjoys content creation, has an eye for design, and thrives in an entrepreneurial environment.

You'll be responsible for ensuring podcast episodes and related content are consistently published while supporting occasional administrative tasks for coaching clients and community events.

This is not a traditional administrative role—we're looking for someone who can think independently, exercise good judgment, and contribute ideas rather than simply complete checklists.

Key Responsibilities

Podcast Production & Content Publishing (Primary Focus)

  • Coordinate podcast recording sessions through Riverside
  • Generate and design engaging YouTube thumbnails using Canva
  • Use AI-assisted workflows to create: Video titles, Descriptions, Supporting copy
  • Publish podcast episodes to YouTube
  • Upload AI-generated YouTube Shorts
  • Review AI-generated edits before publishing to ensure quality and relevance
  • Maintain a consistent publishing schedule

Administrative Support

  • Coordinate coaching session scheduling and rescheduling
  • Send reminders to existing coaching clients
  • Follow up on outstanding invoices via email or WhatsApp
  • Manage calendars and meeting invitations
  • Assist with general administrative tasks as required

Event Support

  • Preparing presentation decks
  • Coordinating with venue contacts
  • Supporting event logistics where required
  • Handling miscellaneous administrative tasks related to events

Must-Haves

  • Excellent written and spoken English
  • Strong organisational and time management skills
  • Comfortable using AI-powered tools and learning new software
  • Canva experience (or similar design software)
  • Ability to follow established workflows while thinking independently
  • High level of initiative and ownership
  • Strong communication skills
  • Comfortable working in a fast-moving startup environment

Nice-to-Have

  • Experience managing YouTube channels
  • Familiarity with Riverside, Opus Clip, or similar AI video tools
  • Basic understanding of social media content strategy
  • Experience with Instagram Reels and TikTok
  • Previous experience supporting creators, coaches, or founders
