Job Description

Role Overview

We are looking for a highly organized, business-minded, and proactive professional to join our CEO Office. This role is not a traditional Corporate Secretary position focused solely on governance, compliance, or board administration. Instead, the role serves as a key partner to the C-Level, helping improve leadership effectiveness, organizational alignment, and execution across the business.

The successful candidate will helping manage priorities, coordinating cross-functional initiatives, facilitating communication between leadership and business teams, and ensuring important commitments and actions are effectively followed through. While the role will gradually take ownership of selected Corporate Secretary and governance responsibilities, the primary focus is supporting the CEO Office and helping to operate effectively in a fast-moving and dynamic business environment.

Key Responsibilities

CEO Office & Leadership Support

  • Partner closely with the C-Level to manage priorities, commitments, and key initiatives.
  • Help organize and optimize the C-Level's time, attention, and focus based on business priorities.
  • Prepare executive briefings, summaries, meeting materials, and decision-support information as needed.
  • Attend selected leadership meetings and track key actions, decisions, and follow-ups.
  • Support execution of strategic initiatives by the CEO Office.
  • Ensure alignment and communication between leadership team

Executive Prioritization & Coordination

  • Manage executive schedules with consideration of business impact and organizational proration
  • Evaluate competing requests and recommend prioritization.
  • Coordinate internal and external stakeholder engagements.
  • Ensure meetings are properly prepared, productive, and followed by clear action tracking.

Cross-Functional Business Partnership

  • Build strong relationships across departments and functions.
  • Support coordination of business priorities across teams.
  • Follow up on critical deliverables and commitments.
  • Identify bottlenecks, risks, and dependencies requiring leadership attention.

Corporate Governance & Corporate Secretary Development

  • Support board, shareholder, and leadership governance processes.
  • Assist in preparation of meeting materials, resolutions, and governance documentation.
  • Maintain corporate records and governance-related documentation.
  • Gradually assume broader Corporate Secretary responsibilities as the role develops.

Requirements

Education & Experience

  • Bachelor's Degree in Business Administration, Management, Economics, Communications, Law, or related disciplines.
  • Minimum 8–10 years of experience in CEO Office, Executive Business Partner, Corporate Secretary, Chief of Staff, PMO, Strategy, Executive Assistant to C-Level, or related roles.
  • Demonstrated experience supporting senior executives through both executive operations and business-related initiatives, including calendar management, executive prioritization, stakeholder coordination, project follow-up, leadership meetings, strategic initiatives, and cross-functional collaboration.
  • Proven experience managing complex executive schedules while balancing business priorities, stakeholder needs, and organizational objectives.
  • Experience working closely with senior executives, founders, C-level leaders, Board members, or key stakeholders.
  • Exposure to Corporate Secretary, governance, board management, or company administration is preferred.
  • Experience in fast-paced, high-growth, startup, technology, hospitality, property, consumer, or dynamic business environments is highly preferred.
