Job Description

As a Buyer Admin, you'll play a key role in supporting the Merchandising Team with critical operational tasks. You'll be responsible for managing purchase orders, ensuring product and pricing data accuracy, and coordinating with suppliers and internal teams. We're looking for someone who's organized, comfortable working with ERP systems, and familiar with fast-paced procurement or merchandising processes—ideally in e-commerce, grocery, or retail.

Key Responsibilities

  • Create, update, and track purchase orders (POs) in the ERP system based on approved buying decisions.
  • Ensure POs, invoices, and delivery documentation, promotion invoicing details, promotion agreement are accurate, consistent, and properly filed.
  • Communicate with suppliers to follow up on delivery timelines, documentation, and order confirmations, balance checking, promotion agreements signed.
  • Work closely with internal teams (Procurement, Operations, Finance) to resolve discrepancies or missing information.
  • Maintain accurate product, pricing, and vendor data in the ERP system.
  • Support product onboarding tasks including item setup, category assignment, and availability status updates.
  • Assist in reporting tasks related to POs, product availability, and pricing.
  • Ensure compliance with procurement procedures and internal documentation standards.

Requirements

  • 1–2 years of experience in an administrative, buying support, or procurement coordination role.
  • Comfortable working with ERP systems (e.g., Odoo, NetSuite, SAP, or similar platforms).
  • Strong attention to detail and ability to manage data and documentation accurately.
  • Proficient in Excel/Google Sheets (e.g., sorting, filtering, formulas).
  • Strong organizational skills and ability to manage multiple tasks and timelines.
  • Good written and verbal communication skills for liaising with suppliers and internal teams.
  • Self-motivated and comfortable working independently in a fast-paced environment.

Preferred Requirements

  • Experience in grocery, FMCG, retail, or e-commerce.
  • Familiarity with inventory management or purchase-to-pay processes.
  • Exposure to fast-paced or startup work environments.
