Job Summary
The Assistant Project Manager (Entry Level) provides essential support in planning, coordinating, and delivering business systems and process improvement initiatives and overall schedule coordination for senior managers. Working closely with senior program and project managers, this role helps ensure projects are executed on time, within scope, and in alignment with strategic business goals. The Assistant PM will play a key role in managing Jira boards, supporting Agile sprint ceremonies, coordinating cross‑functional stakeholders, and maintaining accurate project documentation—contributing to the successful adoption of new or improved business systems across the Group.
Key Responsibilities
Tasks Administration (Jira) & Agile Support
- Maintain Jira boards, including ticket creation, backlog grooming, prioritization, status updates, and sprint progress tracking.
- Ensure all user stories, tasks, bugs, and acceptance criteria are updated accurately and on time.
- Generate Jira dashboards and sprint reports for weekly progress reviews.
Sprint Ceremony Facilitation
- Coordinate Agile ceremonies with senior PMs and/or Scrum Masters, including:
- Daily stand‑ups
- Sprint planning
- Backlog refinement
- Sprint reviews
- Retrospectives
- Record minutes, decisions, and action items for internal circulation.
Documentation & Reporting
- Assist in preparing project documentation such as business requirements, UAT materials, progress reports, and change logs—mirroring documentation expectations in the senior PM JD
- Track and consolidate status updates for cross‑functional teams and leadership.
Stakeholder & Team Collaboration
- Coordinate with business users, developers, analysts, and vendors to support timely execution of tasks.
- Assist in UAT preparation, test scenario coordination, defect logging, and follow‑up actions.
- Support go‑live, training, and post‑implementation steps as directed by senior PMs.
- Support documentation of business process changes and conduct follow‑ups to ensure adoption and alignment with project goals.
- Arrange and organise team meetings, travel schedules and other coordination activities for senior managers
Qualifications and Experience
- Bachelor's degree in Information Technology, Computer Science, Business, or a related field.
- Basic understanding of Jira (hands‑on experience preferred).
- Familiarity with Agile methodologies (Scrum/Kanban).
- Knowledge of project management fundamentals.
- Proficient in MS Office (Excel, PowerPoint, Word) and collaboration tools such as Teams.
- Exposure to project management tools such as Confluence, Microsoft Project, or similar.
- Strong organizational and coordination skills with high attention to detail.
- Excellent communication skills in English, both written and verbal.
- Ability to multitask and work effectively in a fast‑paced, cross‑functional environment.
- Eagerness to learn, proactive attitude, and strong problem‑solving mindset.
