Job Description

Work location: Jakarta Pusat - Indonesia

The Operations Assistant Manager plays a crucial role in supporting to set-up the necessary processes, systems for the efficient operations of our logistics and distribution activities, overseeing and optimizing freight-forwarding operations, from documentation and logistics to customer service and regulatory compliance, with a focus on delivering exceptional service and optimizing operational efficiency to support the success of DP World's logistics business.

Key Accountabilities

  • Manage and oversee the freight-forwarding operations customs brokerage day-to-day activities including import/export processes comprising all modes of transportation (sea and air)
  • Prepare the full set of clearance documents required for shipping, such as customs declarations.
  • Monitoring of shipment status and provide best in class customer experience to our Cargoes Logistics customers on all product and service offerings.
  • Responsible for the operational results of all containers services, provide the highest level of service at the lowest cost.
  • Managing vendor invoices and closing job files.
  • Prepare quotations for clients, potential clients, overseas/ interstate offices.
  • Engagement with Regional teams for major Requests for Information (RFIs) and Requests for Quotations (RFQs).
  • Manage and provide a proactive approach to addressing customer claims, complaints, and queries, to enhance customer satisfaction, build trust, and establish a positive reputation.
  • Responsible for monthly performance data preparation and review.
  • Work together with the sales team for customer relationship management and new service implementation.
  • Ensure compliance with local and international trade regulations.

Qualifications, Skills and Experience

  • Tertiary qualifications with minimum 3 years assistant managerial experience in Logistics/Freight-forwarding operations.
  • Excellent service mindset with ability to connect with customers and extend an extra mile in resolving their issues / concerns.
  • Proficiency in understanding the entire export-import process and documentation thoroughly, covering every aspect from start to finish.
  • Familiarity with updated regulations concerning export-import processes in Indonesia.
  • Thorough understanding of the customs processes in Indonesia for both Air and Ocean freight.
  • Knowledgeable about international trading processes and INCOTERMS 2020.
  • Ability to communicate with customers, customs, and other related government
  • Effective verbal and written communications in English and interpersonal skills.
  • Ability to thrive in ambiguous and new set-up environment. Requires a combination of skills in adaptability, problem-solving, communications, and a positive attitude.
  • Ability to work independently, manage priorities, be organised, methodical and deal well under pressure.
  • Proficiency in using MS Office and IT applications.
