POSITION SUMMARY

The Assistant Director, Asia is Haven Foods second-in-command in the Indonesia office, splitting time evenly between running operations and keeping every department aligned and moving. Half of the role owns inventory, supply chain, and packer performance across the multi-country sourcing network. The other half makes sure Operations, Product Development, Design, and Social Media deliver on their commitments, surface risks early, and stay pointed at the same priorities.

The role reports to the Managing Director, Asia and acts as his first point of contact for where things stand across the office. Department leads keep ownership of execution in their own functions; the Assistant Director holds them to their commitments and removes blockers between teams.

ROLE AT GLANCE

OPERATIONS (50%):

Supply chain and inventory

Own inventory accuracy, availability, and health across all sourcing countries, warehouses, and SKUs.
Lead root-cause analysis on out-of-stock events and forecast misses, and drive the corrective action plans to closure.
Maintain the margin and cost model per kilogram and per SKU, and recommend the margin floor for constrained allocation decisions.

Packer and supplier management

Own day-to-day relationships with packers and processors across every sourcing country.
Establish a second named contact at every packer to remove single points of failure.
Prepare and negotiate packer terms and input costs (plastics, master cartons) for Managing Director sign-off.

Forecasting, systems and process

Own the forecast archive and run a monthly forecast-accuracy review.
Flag sluggish stock from warehouse sell-through before it becomes a write-off or a stockout.
Keep NetSuite and FoxPro reconciled, and partner with data science to automate the bridge between them.
Own operational SOPs, reconciled against purchase orders.

Operations team

Lead and develop the Operations team, including coaching, KPIs, and performance management.

CROSS-FUNCTIONAL ALIGNMENT (50%):

Visibility and reporting

Maintain a current, accurate picture of activity across Operations, Product Development, Design, and Social Media.
Run the office reporting rhythm: stand-ups, weekly summaries, and a monthly review with the Managing Director.
Be the first point of contact for questions about where something stands.

Follow-through and escalation

Track cross-team projects, dependencies, and commitments end to end, and close the loop when they slip.
Restructure task and project tracking around completion, not just visibility.
Escalate risks and unresolved blockers to the Managing Director before they become problems.

Managing Director support

Triage incoming requests so the Managing Director's time goes to decisions only he can make.
Represent the Managing Director on coordination matters when he is traveling or unavailable.

Continuity and knowledge

Act as named backup across the four department leads and support succession planning for critical roles.
Keep processes, decisions, and institutional knowledge documented and searchable, not held in individual inboxes.
Support the rollout of structured performance reviews and team adoption of AI and knowledge-management tools.

Qualifications

5+ years of experience in supply chain, inventory, or operations.
Cross-functional experience preferred, such as a Chief of Staff, program lead, or similar coordination role.
Experience in food, CPG, or a multinational sourcing environment.
A track record of owning metrics that hit the P&L: fill rate, inventory accuracy, out-of-stock prevention.
Experience managing packer or supplier relationships across multiple countries.
Working knowledge of ERP and BI tools such as NetSuite, PowerBI, or equivalent.
Strong analytical skills, including margin, cost, and forecast modeling.
Proven ability to hold peers accountable without direct authority, and a low tolerance for dropped balls.
Excellent written and verbal communication; high discretion with sensitive information.
Fluent English; Bahasa Indonesia strongly preferred.
Based in or willing to relocate to Surabaya, Indonesia, with regular travel to farms and packer sites across sourcing countries.
