Role Description:

This is a full-time, on-site role for an Administrative Support Specialist located in Jakarta, Indonesia. This role will be responsible for supporting the daily administrative operations of the Indonesia team, managing schedules and calendar coordination for the Country Manager, and ensuring smooth internal coordination across functions.

The ideal candidate will also support the Sales and Customer Success teams with administrative documentation, reporting preparation, and presentation materials, including simple visual content creation using Canva. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities:

  • Manage and coordinate the Country Manager's calendar, meetings, schedules, and internal appointments.
  • Handle daily administrative and operational tasks to support internal team efficiency.
  • Prepare, organize, and maintain business documents, reports, contracts, proposals, and internal records.
  • Provide administrative support to Sales and Customer Success teams, including document preparation, proposal formatting, quotations, and account-related paperwork.
  • Assist in creating simple visual materials and presentations using Canva for internal and external business needs.
  • Coordinate internal meetings, follow up on action items, and ensure smooth communication across departments.
  • Support office administration and ensure proper documentation management.
  • Assist with data entry, filing, reporting, and tracking administrative processes.

Qualifications:

  • Bachelor's degree in Business Administration, Management, Communication, Marketing, or a related field.
  • 2–4 years of working experience in administrative support, executive assistance, operations support, or similar roles.
  • Strong organizational and time management skills with the ability to multitask effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office / Google Workspace for documentation and reporting.
  • Familiarity with Canva for creating simple presentation and visual materials.
  • High attention to detail, proactive mindset, and strong sense of ownership.
  • Ability to work independently while collaborating effectively with cross-functional teams.

Preferred Qualifications:

  • Prior experience supporting leadership/executive calendar management is a plus.
  • Experience supporting Sales, Customer Success, or commercial teams is advantageous.
  • Comfortable working in a fast-paced technology or startup environment.
