Location: Jakarta, Indonesia
Reporting: This position reports to the Senior Human Resources Manager/ Human Resources Director.
Responsibilities
- Oversee office administrative operations for smooth functioning and safety.
- Improve operational efficiency by addressing facility and resource management issues.
- Update admin policies, manage supplier relationships, and ensure compliance.
- Conduct regular site inspections to maintain facility and asset integrity.
- Manage inventory and organize storage rooms effectively.
- Monitor and report on facility and resource spending regularly.
- Provide administrative support on office event management and support employee well-being activities.
- Assist with business visa applications and travel logistics.
- Negotiate with contractors to enhance services.
- Ensure compliance with legal requirements and renewals.
- Prepare and monitor admin budgets.
- Support regional finance in compliance efforts.
- Reviewing attendance and contractor payroll
- Assist with various ad hoc duties and projects as needed.
Requirements
- Uphold code of Ethic and act with integrity, professionalism, and confidentiality
- Bachelor's degree in business administration, Management, or related field.
- Minimum of 1 – 3 years of experience in office administration or related roles, with progressively increasing responsibilities.
- Proven experience in managing administrative operations, including facility management, resource allocation, and vendor management.
- Excellent communication and interpersonal skills, with the ability to interact effectively with employees at all levels.
- Strong sense of urgency and problem-solving skills
- Solid organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Knowledge of legal and regulatory requirements related to office administration, including labor laws, health and safety regulations, and compliance standards.
- Professional certifications in office administration or related areas are a plus.
